Privacy notice
Who: PlateNote is a small project run by Giovanni Kerkhof, the Netherlands. Contact: [email protected].
What we collect: your email address, and optionally where you heard about us and whether you want the weekly email. Nothing else — no name, no address, no phone number (unless you call us, see below).
Your allergen choices are used only in the moment, to create your card and email it to you, based on your explicit consent (the tick-box on the form). PlateNote does not store them: not in a database, not in our mailbox, not in our records. They are only inside the email and PDF we send to you.
Why: to send the card you asked for (and, only if you ticked the separate box, the weekly PlateNote email with allergy-travel tips). We also count, anonymously, how many people visit and request a card per page version, to learn which explanation works best. For this we use one cookie that remembers which page version you saw (no identifier) and Cloudflare Web Analytics, which does not use cookies.
Phone calls: if you call the PlateNote number, the call is answered by an AI assistant (it says so in its first sentence), run on the Vapi voice platform. It asks for your name, how to reach you and why you call, and asks your consent before anything is stored; the summary is used only to answer you and follows the same 12-month retention and deletion rules. Please do not share health details on the phone.
Where: the website runs on Cloudflare; email is sent from our own mailbox at [email protected]. Your address is never sold or shared.
How long: at most 12 months after your last contact, then it is deleted automatically. If you never click the confirmation link, your address is deleted after 7 days.
Your rights: reply “delete” to any PlateNote email, use the removal link in it, or write to [email protected], and we delete your address within 48 hours. You can also ask what we hold about you, or complain to the Dutch data protection authority (Autoriteit Persoonsgegevens).
Important: the PlateNote card is a communication aid. It does not guarantee that food is safe and does not replace a conversation with the staff or advice from your doctor.
